Terms & conditions under Pack n Fly Travellers Club LLP provides the information on this website and terms & conditions governing your use of this site are set forth here.

A contractual agreement is constituted between you and Pack n Fly Travellers Club LLP for use of services and your acceptance is represented for terms & conditions set out herein.

Booking Policies

All trip prices are based on foreign currency exchange rates, and prior to departure prices are subject to change without notice if such rates change more than 5%. The current price can be confirmed at the time of reservation.

Booking Closure date implies when no fresh bookings are accepted thereafter. This time interval before the departure date is needed to complete the visa formalities and other tour related arrangements.

Any trip can be booked online by registered user or offline by contacting Pack n Fly Travellers Club LLP. Minimum booking amount depends how close you book to the tour departure date.

On receipt of successful payment of minimum amount along with your duly signed registration form & required documents, confirmation would be sent to you over email or by courier.

Payment Policy

We collect portion of total costs as advance payments for all our services. This is just to confirm the bookings. The advance payment must be deposited by client before the trip commences. Service Tax is chargeable on the total package cost as per Indian Government Policy prevailing on that point of time.

Payment terms

• 25% max by 45 days in advance to tour booking closure date
• 50% max by 35 days in advance to tour booking closure date
• 100% max by 25 days in advance to tour booking closure date

Mode Of Payments

• Cheque / Demand Draft drawn in favour of Pack n Fly Travellers Club LLP.
• Online Bank transfers via NEFT/RTGS
• Online Card Payments/Internet Banking

Card payments and online banking payments are processed through an online payment gateway system. An online convenience charges are applied for payments processed through payment gateway. In case of cancellation, this fee is non-refundable. Bank charges, if any, for remittance (by remitting bank or by intermediary bank) would be strictly borne by payer.

In case payment is not made as per the schedule mentioned above, Pack n Fly Travellers Club LLP holds the right to cancel your seat on trip and deduct applicable cancellation charges RS 5000/- (Rupees Five Thousand) as cancellation charges plus cost on actual, if any, would be charged. Any claim cannot be made for any loss occurring due to cancellation.

On payment of the balance amount in full you will receive your confirmation with final itinerary. This confirmation will be valid for your travel on the tour. Your Final documents will be issued, upon receiving your balance payment and the Registration Form. It may be noted that the aforesaid payment does not include the cost of porter age, tips, insurance, laundry, phone calls, food and beverages or anything not specified in the itinerary of the tour. Your final Pack n Fly Travellers Club confirmation entitles you to travel on the Tour.

Once duly signed Registration Form is received by us, should you wish to change your option from one Pack n Fly tour to another, we will do our best to meet your wishes. Any such change of Pack n Fly Travellers Club Tour would be construed as cancellation of the former Pack n Fly Travellers Club Tour and the aforesaid cancellation policy will apply.

Pack n Fly Travellers Club has a policy of applying for group visas. Due to any reason, whatsoever, if the visa is not granted by the respective Consular Office/ Embassy of the country or delayed in issuing the visa, in case of international pack n Fly Tour , Pack n Fly Travellers club would not be held responsible for such a failure of obtaining visa and further visa fees, cost of cancellation of air ticket, Insurance or any loss incurred, shall be deducted and only balance payment will be refunded.

Pack n Fly Travellers Club reserves the right to cancel any Tour prior to the departure, without assigning any reason. In such situation we will organize the Tour on a different date and make your bookings for the same if alternate Tour date is acceptable to you. Incase the alternate tour date is not acceptable to you, we will refund the entire amount due and payable to you, however, you will not be entitled to claim any compensation Pack n Fly Travellers Club cannot take responsibility for any cost or any fees relating to the issuance and/ or cancellation of air tickets or other arrangements not done through Pack n Fly Travellers Club.

User Participation

1. Trip prices are strictly applicable for Indian citizens only.
2. Rates are applicable for per person, when 2 persons staying together sharing the same room.
3. You agree to furnish true, correct, recent and complete information about yourself as requested by the registration form and to maintain and promptly update the registration information to keep it true, correct and complete. In case of any inaccurate, incomplete or incorrect information, Pack n Fly Traveller’s Club LLP reserve rights to terminate your account and refuse to provide any current or future services or portion of services without any prior intimation to you.
4. Pack n Fly Travellers Club LLP would not be responsible, in any circumstances, for any damages loss, etc. that may be incurred/suffered by you if the information provided by you in the Tour Registration Form turns out to be incorrect/ inaccurate.
5. You are responsible to maintain the confidentiality and security of your registration credentials and all activities performed under your user account details and password. It’s advisable not to share your password with anybody and sign out at end of session. Immediately report for any suspicious activities performed under your account. You declare that you are of age prescribed by law to be eligible to enter into contract, and use this to create mutual legal obligations, and are capable, ready and willing to discharge any liability you may incur as a result of the use of this site.
6. Travellers of age less than 18 years must be accompanied by an adult and must share the adult’s accommodations. If a child is traveling with adults other than the parents, it is recommended to carry a notarized authorization letter written and dully signed by the parents.
7. Pack n Fly Travellers Club LLP will use its best effort to keep you updated with any change of time for services provided by 3rd party, Pack n Fly Travellers Club LLP will not be liable for any inconvenience or financial loss occurred due to cancelation or change in time of services.
8. While on travel, you are responsible for looking after your personal belongings. Irrespective of circumstances, Pack n Fly Travellers Club LLP shall not be held responsible for any personal belongings left behind/lost on any trip.
9. You agree to be responsible for verifying the travel dates mentioned on the travel documents and for obtaining all visas and entry document prior to travel. You confirm to meet all fitness and/or other requirements and any documents required by law, regulations, orders and requirements of the countries you are visiting. If asked for, Pack n Fly Travellers Club LLP will assist you for these requirements additional cost. It is mandatory to carry at least one Photo identification document issued by government authorities on any trip.
10. You are required to carry a valid passport while travelling overseas and it is mandatory to produce your passport whenever asked by respective authorities. A passport with minimum validity of at least six months beyond the conclusion of trip is required by most of the countries and it is recommended to have a minimum of three blank pages in your passport. For few trips, multiple-entry visas might be required.
11. Loss of any travel document should be reported immediately to Pack n Fly Travellers Club LLP. If in capacity of Pack n Fly Travellers Club.LLP, lost travel document will be provided with a cost attached if any. In case lost document cannot be replaced and you are not allowed to avail the services due to loss of document, Pack n Fly Travellers Club LLP shall not be held responsible for any financial losses or inconvenience.
12. Any physical disability requiring special attention must be reported to Pack n Fly Travellers Club LLP at the time the booking. Pack n Fly Travellers Club LLP will attempt to accommodate the special needs of disabled travellers, but is not responsible for denial of services by carriers, hotels, restaurants, or other 3rd party service providers in case these special arrangements cannot be made available.
13. Pack n Fly Travellers Club LLP hold the right to alter the tour schedule in case of bad weather & other conditions beyond our control that might affect the normal itinerary.
14. While joining  with  Pack n Fly trip, you understand and agree to follow all rules & regulations specified by the company. If you are found indulging in unnecessary & un required demands/misconduct or using foul language with company staff due to which entire group’s schedule & decorum is going to be affected. Without any prior notice company reserves the right to cancel your trip before the start of that specific trip.  Refund for the cancelled trip will be remitted as per our cancellation policy for land part only.
15. All person joining the trip is to follow the given time schedule. Company reserves the right to leave the person behind for disturbing the trip schedule due to their late reporting time. In such case you are suppose to join the group later at your own cost.
16. During Pack n Fly trip, you understand and agree to follow all applied smoking regulations in public places either in India or abroad. All transportation provided exclusively for Pack n Fly are non-smoking in any part of the globe.
17. Pack n Fly Travellers Club LLP cannot guarantee any special meal requests and will not be responsible or liable in case special meal requirements are not fulfilled. Though vegetarian food can be provided if prior food request is made.
18. You agree to abide by the applied laws of the county you are travelling in. You agree to abide by the baggage regulations applied by the carrier. You agree to comply with the authority and decisions taken by representative in the best interest of traveller or group. In case conduct of any traveller deemed unsuited with the interests of other travellers, for the benefit of all travellers Pack n Fly Travellers Club LLP reserves the right to discontinue the services and deport  said traveller and in this circumstance the traveller will be responsible for repatriation and associated cost on his/her and have no claims against Pack n Fly Travellers Club LLP.
19. While on an Pack n Fly trip, pictures and videos of individual traveller and of partial or complete group taken by the tour representative or shared by individual traveller may be used for promotion, publicity and advertisement purposes in printing, website, company social pages or in any promotional material. You will not be eligible for any waiver, service discount, payment or remuneration in respect of these pictures or videos. Your written communication prior to commencement of the tour for not using your personal picture or video for any purposes stated above will be honored & appreciated.
20. Pack n Fly Travellers Club LLP reserves the right at its sole discretion, to change, curtail or cancel an itinerary or a trip as a consequence of superior force like natural disasters, adverse weather conditions, fire, explosion, destruction, damage of trip accommodation, craft or vehicle connection with a trip, riots, acts of civil war, civil commotion, exercise of legislative, municipal, military or other authority, strikes, industrial action, requisition of equipment, mechanical breakdown, shortage of fuel, insolvency or default of any carrier or service connected with a trip, or any other reason beyond the control of Pack n Fly Travellers Club LLP. In these circumstance, the Client shall not be eligible to claim for compensation.
21. Every trip has a required minimum number of participation needed for operation of a trip and in case criteria is not fulfilled, Pack n Fly Travellers Club LLP reserves the right to cancel the trip and the clients shall not be entitled to claim for a loss arising as a consequence of cancellation of trip.
22. In case of any change in the services mentioned in the itinerary, clients shall be intimated prior to the trip and alternate services would be offered if feasible. Unless within three days of issue of the offer of an alternative service, it is declined by the Client in writing, Pack n Fly Travellers Club LLP shall assume that the Client has accepted such offer. In case of declined offer, the client shall only be entitled to reimbursement of part payment made. You acknowledge and expressly agree that, in any event, the liability of Pack n Fly Travellers Club LLP.
23. If certain facilities such as museums, churches, restaurants, sightseeing tours, and shopping may be limited or not available due to holidays or special events or occasions, alternatives will be offered whenever possible.

Insurance

It is recommended having a travel and medical insurance cover while travelling overseas. If requested, same can be arranged. You agree to guarantee Pack n Fly Travellers Club LLP against all third-party claims, actions, damages and remedies which may be brought against us in respect of your participation in the trip.

Proprietary Rights

All content on this website is copyrighted and unauthorized use of text, images or graphics is strictly forbidden. Other graphics used and company names mentioned in this website may be the sole property of others and may be the copyrighted material of their respective owners.

No Warranty

This information is provided to you “as is,” and you agree to use it at your own risk. Ms Pack n Fly Travellers Club LLP make no guarantees, representations or warranties of any kind, express or implied, arising by law or otherwise, including but not limited to, content, quality, accuracy, completeness, effectiveness, reliability, fitness for a particular purpose, usefulness, or that the data or server will be uninterrupted or error-free.

Governing Law

The above terms and conditions shall be governed by the laws of the Republic of India without giving effect to its conflict of law’s provisions, which is explicitly excluded. You agree to submit to the personal jurisdiction of the courts at Delhi for any and all disputes, claims and actions arising against Pack n Fly Travellers Club LLP.

Termination Policy

Pack n Fly Travellers Club LLP reserves the right, in its sole discretion, to terminate the provision of any of the services at any time for any reason, including but not limited to any improper use of this site or your failure to comply with these terms and conditions.

Complaints, Suggestions & Comments: In case you have any complaints in respect of the travel service, you are requested to submit your complaint by sending an email to [email protected]

This will facilitate Pack n Fly Travellers Club LLP to make an appropriate investigation. You are advised to submit your complaint within 30 days of incident.

Visa Requirements : –

You must be in possession of a multiple entry Schengenstaten visa in order to take up this tour.
The visa fee includes documentation, processing and consulate fees. Some Consulates may
request for a personal interview.

Documents Required:

•  Passport (with 10 year validity) with atleast 6 months validity from the date of departure. Please note that the passport booklet should have a minimum of 2 blank  pages for official use.
•  Old Passport booklet if any
•  2 Passport size photographs (of 35 X 45 mm with white Background on matt finish paper & 80% face area). Please make sure your teeth are not visible. If you wear eye glasses, please wear transparent/white lenses while getting the picture clicked. Embassies usually reject photographs of subjects wearing coloured lenses.
•  Cover letter from the ‘main applicant’ or the person incurring journey expenses explaining the reason of travel.
•  Visa applications form, duly filled and signed by passenger(s)
•  Last 6 months’ personal bank statements in original on banks’ stationary.
•  Self-attested copies of personal Income Tax Returns of last 3 years.
•  Leave Letter/No-Objection Certificate from the employer. (template attached, please
  amend as required) 

Are you self-employed?

• Sole Proprietors: Need to submit your letter of request for issuance of visa on your
• company letter head and a xerox copy of company registration certificate.
•  Owner of a Pvt. Ltd. Company: Need to submit your letter of request for issuance of
  visa on your company letter head (template attached, please amend as required) and a
  copy of the memorandum of article.
•  3 Months’ Salary Slips. Please provide 6 months’ salary slips if you plan to travel to
  Spain.
•  Copy of your appointment letter
•  Form-16 FOR LAST 3 YEARS (becomes mandatory if no ITR)
•  Copy of your PAN card (Mandatory for Spain)
•  Copy of your company ID card and latest Business Card. This helps incase the
  consulate/embassy of the destination country wishes to establish contact with the
  customer(s)
•  Xerox copy of your in-use credit card and its statement of one month. This will help the
  embassy officials establish your financial condition.
•  Xerox copy of your fixed deposits, PPF account or property papers (if any) & others
  investments. This is recommended incase the liquidity is a constraint in the personal
  bank statement or if the transactions history is not sound enough to attain visa
  clearance.
  We will take care of all your documentation pertaining to your hotel check-in/booking
  documents, air ticket(s), insurance and itinerary
• If Visa has been refused by an Embassy /High Commission in the last 3 Years?
•  A written application stating the reason for the trip and its refusal is mandatorily required
•  Please attach the copy of the refusal form from the concerned embassy/high commission
  For Proprietor:
•  A cover letter on a business letterhead of your company stating your position and
  length of your service. (template attached, please amend as required)
•  Last 6 months’ personal bank statements in original on banks’ stationary.
•  Self-attested copies of personal Income Tax Returns of last 3 years.
•  Xerox copy of your in-use credit card and its statement of one month. This will help the
  embassy officials establish your financial condition.
•  Xerox copy of your fixed deposits, PPF account or property papers (if any) & others investments.
  This is recommended incase the liquidity is a constraint in the personal bank statement or if the transactions history is not sound enough to attain visa clearance.
  For Business Partner/Director : 
•  A cover letter on a business letterhead of your company stating your position and
  length of your service. (template attached, please amend as required)
•  Last 6 months’ personal bank statements in original on banks’ stationary.
•  Self-attested copies of personal Income Tax Returns of last 3 years.
•  Xerox copy of your in-use credit card and its statement of one month. This will help the
  embassy officials establish your financial condition.
•  Xerox copy of your fixed deposits, PPF account or property papers (if any) & others investments.
  This is recommended incase the liquidity is a constraint in the personal
  bank statement or if the transactions history is not sound enough to attain visa clearance.
•  Copy of company’s Registration Papers, Memorandum or Partnership/Import-Export
  Deed.
•  NOC from the non-traveling partner on company letter head. (template attached, please
  amend as required)

  • We hold the right to alter the tour schedule in case of bad weather & other conditions beyond our control that might affect the normal itinerary.
  • During Pack n Fly trip, you understand and agree to follow all applied smoking regulations in public places either in India or abroad. All transportation provided exclusively for Pack n Fly are non-smoking in any part of the globe.
  • The meals at hotel are mix of Veg & Non-Veg dishes. In case of pure veg meals (No onion/no garlic) advance intimation is a must.
  • Meals at the hotel or other services not utilized during the tour shall be not liable for any kind of refund from the tour price.
  • Pack n Fly Travellers Club LLP further reserves the right to change the itinerary and hotel, if necessary, in similar category as specified at the time of booking of Tour.
  • Pack n Fly Travellers Club LLP reserves the right to cancel any tour prior to the departure, without assigning any reason. In such situation the tour will be rescheduled on a different date and we will confirm your bookings for the same Incase the alternate tour date is not acceptable to you, we will refund the entire amount due and payable to you, and however, you will not be entitled to claim any compensation. Pack n Fly Travellers Club LLP cannot take responsibility for any cost relating to the issuance and/or cancellation of air tickets and/or other arrangements not done through Pack n Fly Travellers Club LLP.
  • In case of any deviation/ cancellation in the itinerary due to natural calamities or reasons beyond our control or any unforeseen surprises, cancellation charges as per the cancellation policies below will be applicable
  • In case, the trip is cancelled, Pack n Fly Travellers Club LLP will not be responsible for cost of tickets and travel arrangements done for the trip.
  • Cancellation Policy is applicable on land package only.
  • Cancellation and /or amendment of airline tickets shall at all times be subject to fees/charges/levies/payments as may be levied / payable to the relevant airline/carrier in accordance with such relevant airline/carrier cancellation/refund policy.
  • In case during the trip any group member faces medical problem, proper first aid will be provided at the earliest.
  • Pack n Fly Travellers Club LLP would not be held responsible for occurrence of any of the following circumstances during or before the commencement of the Tour and any extra costs occurring due to these are to be borne by you:
  1. a) Any act of God, like heat wave, heavy rain, floods, land slide, earthquakes, extreme bad weather etc.
  2. b) Any delay or cancellation of trains, flights, ferry, bus etc.
  3. c) Medical problem, sickness, physical inability to manage with the itinerary or any other such matter.  Such an inability shall not affect/ delay the rest of the group on the Tour
  4. d) Lost luggage, loss of personal belongings and/ or theft etc.

Pack n Fly Travellers Club LLP has no liability for any such activity or for any act(s) or omission(s) of the organizer or operator or for any of its employees or agents or any other person(s) connected with the activity or service.

You agree that use of packnfly.in website owned by Pack n Fly Travellers Club LLP and the service is entirely at your own risk. Website and service are provided on an “as is” or “as available” basis, without any warranties of any kind. All express and implied warranties, including, without limitation, the warranties of merchantability, fitness for a particular purpose, and non-infringement of proprietary rights are expressly disclaimed to the fullest extent permitted by law. Pack n Fly Travellers Club LLP has the right at any time to change, modify, add to or discontinue any service. Pack n Fly Travellers Club LLP has no obligation to provide you with notice of any such changes.

The client will indemnify and hold company, its subsidiaries, affiliates, content providers, service providers, employees, directors, agents and contractors (hereinafter called as the “Indemnified Parties”) harmless from any breach of these aforesaid mentioned terms & conditions by him/her. You give your consent that the indemnified parties will have no liability in connection with any such breach or unauthorized use, and you as a client agree to fully indemnify any and all resulting damage, loss, costs and expenses and fees of the attorney paid by the indemnified parties in connection therewith. The client shall fully indemnify the company in case any legal suit or action, execution procedure, claim are initiated by the third parties against the company due to any action of the user in using this website. Any dispute will be subject to Delhi jurisdiction

You acknowledge that the disclaimers and exclusions of liability set forth above represent a fair and reasonable allocation of the risks and benefits of the agreement between you and us, and shall be enforceable to the fullest extent permitted by applicable law.
